High-altitude operational protocols, guide authority mandates, medical disclosures, and legal agreements governing our Himalayan ascents.

HIGH-ALTITUDE EXPEDITION AGREEMENT

Binding Contract

1. Expedition Authority & Safety Protocols

Above 5,000 meters, mountain weather, glacial conditions, and individual acclimatization rates are unpredictable. By booking an expedition with Trekon Climbs, you explicitly agree that the Lead IFMGA / Sherpa Guide holds absolute authority over all operational decisions, itinerary modifications, camp locations, and turnaround times.

If the Lead Guide deems that an individual climber's physical condition, altitude sickness (AMS/HAPE/HACE), or technical competence poses a hazard to themselves or the team, the guide has the binding authority to mandate an immediate descent. In such safety-mandated descents, no refund is provided for uncompleted expedition days.

2. Medical Disclosure & Fitness Certification

All participants must complete an accurate medical disclosure form prior to departure. Any pre-existing respiratory, cardiovascular, neurological, or musculoskeletal conditions must be declared.

Trekon Climbs reserves the right to require a physician's clearance certificate for expeditions exceeding 5,500 meters or for participants over 50 years of age. Concealing medical conditions voids all insurance claims and releases Trekon Climbs from any liability arising from medical complications during the trek.

3. Force Majeure & Weather Routing

Himalayan expeditions are subject to natural forces including blizzards, avalanches, landslides, road blockages, and civil/governmental restrictions (Force Majeure). If an itinerary is delayed, altered, or curtailed due to Force Majeure:

  • Trekon Climbs will make every reasonable effort to provide alternative trekking routes or secondary summit targets of comparable grade.
  • Any additional costs incurred for emergency helicopter evacuations, unplanned hotel layovers, or alternate transport will be borne by the participant or their travel insurance provider.
  • No partial refunds are issued when weather or natural disasters prevent a summit attempt after the expedition has departed basecamp.

4. Mandatory Travel & Evacuation Insurance

For all high-altitude expeditions (such as Swargarohini, Satopanth, Bhagirathi, or Auden's Col), participants are legally required to carry active adventure travel insurance that explicitly covers:

  • High-altitude mountaineering and trekking up to 6,500 meters without rope/guide restrictions.
  • Emergency helicopter search and rescue (SAR) evacuation in remote alpine terrain.
  • Medical hospitalization and repatriation of remains.

Proof of insurance policy number and 24/7 emergency dispatch contact must be submitted to our basecamp coordinator at least 10 days before departure.

5. Release of Liability & Assumption of Risk

Mountaineering and high-altitude trekking are inherently hazardous activities involving risks of injury, frostbite, acute mountain sickness, or fatalities. By embarking on an expedition, the participant voluntarily assumes all risks associated with alpine exploration and agrees to release and indemnify Trekon Climbs, its directors, sherpas, and logistics agents from claims arising out of natural mountain hazards.
